CANCELLATION POLICY

Given our remote setting and operation logistics all payments are required prior to check in. By providing your prepayment, you are confirming that you have read, understand and will comply with Ocean Forest Cancellation Policy. All cancellations must be received in writing and subject to the terms below:


Independent (non-group) Travelers

If cancellation is received more than three weeks (21 days or more) before your scheduled arrival, we will refund 50% of the payment you have sent minus $100 per person administration costs.

If the cancellation is received less than 3 weeks (20 days or less) from the date of your scheduled arrival, no refund will be given.

Late arrivals or early departures: No refunds or credit will be applied for early departures, nor for missed nights. Payment is based on youroriginal reservation.


Group and Retreat Participants

Ocean Forest does not return any monies or offer credit directly to any individuals who have signed up and paid through outside group leaders. Contact your group/retreat leader directly for their terms and policies regarding cancellations and refunds.


Group and Retreat Leaders

No credit is applied for cancellations six months or less prior to start date.  If full cancellation of your event is requested more than 6 months prior to your event, 50% of your deposit can be applied in credit towards a future retreat. A rescheduled retreat must be within one year of your original retreat start date, after which no credit can be applied.

Reduction in Room Block Size

Room block bookings may be reduced to either the Toucan or Hummingbird packages, with terms as follows:

Up to 6 months prior to your event you may reduce your room block size without a penalty. A new total will be calculated, with an additional $300 administration fee.

Between 6 months and 90 days prior to your event, reductions in room block size are subject to a penalty of 50% of the cost difference between the larger and smaller room block packages.

Example: If reducing rooms from a 6-night Toucan Package at $10,700 to 6-night Hummingbird Package at $6,600 (A difference of $4,100), you would be billed 50% of the difference, which is $2,050. New tab will be calculated based on your reservation.

 Less than 90 days prior to your event, no credit or refunds will be applied to reductions to your room block size, and you are responsible for 100% payment on all reserved rooms.

Adding rooms after reductions: If additional rooms are needed for the updated room block, refer to the Add-On Room Rate chart (see Retreat Starter Kit).

Less than 9 visitors: If you wish a reduction that results in a room block smaller than the Hummingbird package, the Group Cancellation Policy will apply as stated above. Rooms may be re-booked at Independent Traveler rates. (Refer to nightly rates posted on the accommodation page on web site)
